How to print receipts on one page for an expense report
Add every receipt to the receipt printing tool at once: phone photos, emailed PDFs and payment screenshots can all go in together. They’re laid out at actual size on Letter sheets, 8.5 × 11 in (216 × 279 mm), as many to a page as fit. Click Export / print and either print the pages or download one PDF to attach to your expense report, whatever system your company uses. No merging, converting or copying and pasting into a document first.
Where receipts usually come from
Paper receipts. Take a photo of each one with your phone, or on a phone tap Camera in the tool: it finds the receipt’s edges, straightens it and can rescue faded thermal paper with Enhance or Black & white. Long, skinny receipts from the pharmacy or grocery store stay in one piece, because the tool sees the camera information and knows they aren’t screenshots.
Emailed PDFs. Hotel folios, airline and rental car receipts, online orders. Each PDF page keeps its physical size and is never enlarged, and in the exported PDF the pages stay vector, so the text is as sharp as the original.
Payment screenshots. If you paid a vendor or a coworker back by Venmo, Zelle or PayPal, or by Interac e-Transfer in Canada, paste the confirmation with Ctrl+V or Cmd+V, or add it from your phone’s photos, and drag it next to the matching receipt.
Multi-page files. Every page of a PDF becomes a separate block, in order: a two-page hotel bill plus its card slip makes three blocks.
Two full-page PDFs on one sheet
A PDF that fills a whole page stays full size, so it gets a sheet to itself. To save paper, open Page settings (the ⚙ button; Settings on a phone) and set PDF pages per sheet to 2 per sheet. Full-page PDFs are then paired in order and shrunk to share a sheet, even when they come from separate files, which a PDF reader’s “multiple pages per sheet” can’t do without merging first. Like a printer’s “2 pages per sheet” option, two portrait pages are turned 90° and stacked when that makes them larger, at roughly 60–70% of their size, so you read the printout sideways. The text stays sharp in the exported PDF. More in how to print multiple PDF pages on one sheet.
If only the total matters, Crop a PDF page on a computer to cut the blank space; smaller pieces then share pages. A cropped page is exported as a 300 DPI image rather than vector, which still prints clearly.
Making the pages easy to review
- Add receipts in the order they appear on your report, or rearrange them: drag on a computer; on a phone, long-press one and drag it onto another to swap them.
- Select a receipt and choose Add caption to note the purpose, such as “Client lunch, May 12” or “Conference parking”.
- In the print dialog, choose Actual size or 100%, not “Fit to page”.
- Before export, the tool warns you about anything within about 1/8 in (3 mm) of the edge, where it might get cut off.
Whether printed or scanned copies are accepted for reimbursement, or as records for the IRS or the CRA, depends on your employer, accountant or tax preparer, so check with them and keep the originals.
Everything is processed in your browser, so your card numbers and amounts are never uploaded. Open the receipt and invoice page to get started.
